The City of Litchfield Park is seeking an individual to provide exceptional customer service as the first point of contact for citizens coming to City Hall.

Under general supervision, performs a variety of routine activities such as filing, faxing, copying, directing phone and walk-in customers, performing basic data entry, creating basic correspondence and distributing mail. Responsible for preparing confidential reports and conducting moderately complex research.

 ESSENTIAL FUNCTIONS: 

Dependable and prompt attendance. 

Provides first line customer service to internal and external customers, greets, receives, screens and refers visitors and customers and operates a multi-line telephone; assists customers at a public counter and/or by telephone; takes and transmits messages; responds to routine-to-moderately difficult inquiries requests or complaints from customers and the public; refers complex inquiries, requests or complaints to appropriate staff. 

Composes routine correspondence and proofreads/edits documents, updates and maintains spreadsheets, databases, and reports.  

Creates, maintains, and assists with filing and computerized record imaging system with a variety of subject matter to provide easy access to records and information. Provides retention of records as needed and/or requested, and assists with records requests as needed. 

Picks up, sorts, copies and distributes a variety of correspondence, deliveries, and mail;

Maintains, monitors, and assists with supplies and inventories, which may include ordering, stocking, and distributing of supplies. 

Performs other duties of a similar nature or level. 

MINIMUM QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and Experience:

  • High School Diploma or GED.
  • Two (2) years of progressively responsible clerical experience in area of assignment. 

Knowledge, Skills and Abilities

Knowledge of:

  • Word processing methods;
  • The structure and content of the English language including the meaning and spelling of words, rules of composition and grammar;
  • Filing and recordkeeping principles;
  • Administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology;
  • Principles and processes for providing customer and personal services.       This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction;
  • Modern office procedures;
  • Basic mathematical concepts; and
  • Customer service principles. 

Skill in:

  • Composing routine business correspondence;
  • Understanding written sentences and paragraphs in work related documents;
  • Talking to others to convey information effectively;
  • Using computers and related software applications;
  • Providing customer service;
  • Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times; and
  • Actively looking for ways to help people

Ability to:

  • Type 35 wpm:
  • Handle frequent interruptions;
  • Establish and maintain effective working relationships with other City staff and the public;
  • Exercise independent initiative and judgement;
  • Learn job related materials primarily through verbal instruction and observation; and
  • Work safely.

Licensing Requirements:

  • Arizona Driver's License;
  • Arizona Notary Public or the ability to become an Arizona Notary Public within 6 months of employment.
